How to reconcile mobile-money receipts without counting sales twice

1. Start with transaction evidence

Download the provider statement for a defined period and gather the matching sales invoices, receipts and bank statement. Keep transaction references, dates, amounts and customer or supplier references. Use a dedicated business wallet where practical and restrict access to financial records.

Create columns for opening balance, customer receipts, other receipts, refunds, payments, fees, transfers and closing balance. Classify an unexplained receipt as an item to investigate, not automatically as a sale.

2. Separate sales, fees and transfers

Where the evidence supports it, record the gross sale and the provider charge separately. Moving money from a business wallet to its bank account is an internal transfer, not another sale or an operating expense. Link both sides using a reference and keep a list of transfers awaiting settlement.

Illustration only: a wallet opens at GH₵200, receives GH₵1,000 from customers, pays GH₵20 in documented fees and transfers GH₵900 to the business bank account. With no other movements, the expected wallet balance is GH₵280. The GH₵900 bank credit is not additional sales. These figures are examples, not provider fee rates.

3. Resolve differences rather than forcing a match

Compare the calculated closing balance with the provider balance. Check for timing differences, duplicate entries, reversals, missing charges and transfers still in progress. Record the explanation, evidence, responsible person and target resolution date for each difference. Do not post a miscellaneous expense simply to make the figures agree.

A weekly review for your business

  • Match each customer receipt to an invoice or order.
  • Check refunds against the original receipt and approval.
  • Trace wallet-to-bank settlements to actual bank credits.
  • Review fees against the provider statement.
  • Have a second authorised person review unresolved items where staffing permits.

The same method can be adapted to other West African payment wallets. Statement formats and settlement arrangements differ, so use your provider’s actual records. This is general bookkeeping guidance, not tax or investment advice.
